This is from our Bylaws and Constitution. If you think you'd like to be an officer, read this first.
Article IV: Officers
The officers of the Rappahannock Rugby Club shall be President, Treasurer, Secretary, Match Secretary, Publicity Officer, Social/Recruitment Officer, Equipment Manager, and Member-At-Large. These members as a group shall be known as the Board of Directors.
Section 1: Candidates for office must be members in good standing who declare a willingness to commit to serve in the positions for which they have been nominated for a period of one year.
Section 2: Candidates will only be considered for office provided the nomination is seconded by a member in good standing.
Section 3: Officers will be elected in December, and each officer shall be elected by a majority vote of the members in good standing present, with at least two-thirds of the active members required to vote.
Section 4: Officers will provide written approval for any and all contracts, checks, and bills that require execution by the club.
Section 5: Duties for each officer shall be as outlined below:
President:
Delegate Club Jobs and Responsibilities
Ensure completion of assigned duties
Preside over club meetings
Directly represent the players and the coach
Provide direction and goals for the club
Provide written consent to dispersion of all team funds
Act as the PRU Governor or assign a member to do so
Treasurer:
Responsible for the team s finances, with duties including, but not limited to:
o Make periodic funds reports.
o Ensure timely payment of Union dues, CIPP registration fees, tournament fees, referees fees, pitch fees, and other assorted expenses.
o Collect club dues, contributions, and other funding.
o Solicit approval for dispersion of team funds.
Secretary:
Maintain list of member and alumni contact information and protect their privacy
Record meeting minutes
Report on results of games, meeting minutes, events, etc. to the team
Maintain a list of members in good standing
Responsible for Public Relations duties; speaks publicly for the team
Advertise club activities, practices, games, tournaments, interest meetings, bar crawls, fundraising activities, and other events
Submit post match write-ups to local newspapers and other media
Write Press Releases for club events
Find additional publicity opportunities for the club
Match Secretary:
Schedules matches with other teams
Know the team schedule(s) and scheduled usage of various pitches
Minimize changing of practice and game times and days
Submits schedule to the Union
Confirms matches with assigned referees and teams
Provide directions to pitches for players, union, referees, and opposing teams
Ensures all players and the club have appropriate CIPP and insurance information
Submits said information to the rugby union
Social/Recruitment Officer:
Organizes post-match socials (place, food, drinks, etc.)
Plans periodic club social gatherings (Happy Hours, Bar Crawls, etc.)
Organizes post-season parties
Recruits new players
Works with secretary for recruitment purposes
Equipment Manager:
Tracks and controls team equipment usage and reports statuses
Organizes club transportation
Obtains water for practices/games
Ensures pitches are properly maintained for practices and games
Maintains Med Kits, Ice, etc. for home matches
Member-At-Large:
Assist other members as needed and desired
Other duties as assigned by the board
Section 5: An officer may be subject to impeachment if he is found to have violated the club bylaws or has committed an act determined to be detrimental to the well-being of the club. To impeach an officer, a club meeting, with at least two-thirds of the active members present, will be held to discuss the alleged infraction committed by the officer. If a two-thirds majority vote is reached, the officer will be resigned from his position. A special election is to be held within two weeks of the impeachment process to fill the vacated officer s position. For special elections, if the required two-thirds majority of active members are not present, a consensus of the board will suffice to appoint the position.
